Actionstep Pricing 2026: Plans and Setup Costs
Build an Actionstep pricing budget around Australian seats, modules, implementation, integrations and the work of moving client and matter records.

Actionstep pricing is quoted per user, with implementation fees added to the subscription. Australian practices need a proposal for their selected configuration before they can calculate a reliable first-year budget. The budget also needs staff time for workflow decisions and record migration, plus any separate supplier charges.
A monthly subscription figure can leave much of the rollout uncosted. Compare proposals using the same seat count, billing term and migration scope so a lower licence quote does not conceal a larger project.
Actionstep Pricing for the Proposed Configuration
Start with the Australian region on Actionstep’s pricing page, which uses a request-pricing route instead of publishing an Australian subscription amount. The proposal must name the product and each module, with the users covered by each charge.
Use a quote denominated in dollars for the Australian practice. Record whether each amount includes goods and services tax (GST). Actionstep’s published terms define the access fee as excluding taxes and duties. A subscription amount and a partner’s implementation amount need their own tax treatment in your budget.
Actionstep’s subscription FAQ describes upfront monthly or annual billing. Payment frequency and contractual commitment are separate questions: record both the invoice schedule and the subscription period in the signed proposal.
Identify fee earners, practice managers, finance staff and administrators in the seat schedule. Ask the proposal to state which categories require a paid licence and whether any limited-access category exists for your configuration. Do not assume a part-time employee attracts a part-time charge.
Chargeable Seats, Modules and Connections
Separate the core subscription from optional modules and outside suppliers so you can remove an option without losing track of the remaining costs.
Cost Items to Separate in the Proposal
| Cost item | Charging basis to record | Budget consequence |
|---|---|---|
| Practice Management | Paid seats, billing term and minimum charge | Establishes the recurring platform cost |
| Optional modules | Module users, recurring charge and setup | Changes both subscription and rollout scope |
| Accounting connection | Included work or separately priced connector | Can add another subscription and reconciliation work |
| Document and communication services | Existing licences, new licences and connection setup | Prevents counting the same licence twice |
| Implementation partner | Fixed scope, milestones and variation rates | Determines the initial project cash payments |
| Continuing support | Included support and separately charged consulting | Funds later configuration changes |
Actionstep’s pricing page lists Builder for document automation and Capture for client data collection as add-on modules. Trace is its AI time-capture module and Acumen is its embedded analytics module. Each has a per-user pricing and implementation basis. Keep a separate line for any module included in your proposal.
The same page labels the separate Legal Accounting platform as available only in North America. An Australian proposal needs to describe its own accounting configuration without importing that overseas product into the budget.
For each proposed connection, specify which records move, in which direction and who resolves failed transfers. A connection that copies contacts has a different implementation scope from one that transfers invoices and payments. Include authentication setup, historical imports and any recurring connector charge in the scope. Name the supplier responsible for keeping the connection working after an update.
The subscription FAQ describes a base access fee covering up to three licences. Reducing users below that count does not remove the base fee. Have the quote identify the minimum charge that applies to your agreement before modelling a smaller team.
Workflow Configuration and Implementation
Implementation pays for configuring the practice’s working processes and helping staff use them. Actionstep’s implementation guide describes planning, design, building and testing before deployment, with certified partners carrying out the agreed project.
Write the scope around completed workflows. For a litigation matter, that can mean an intake process followed by assigned tasks, document templates and billing approval. Record which task depends on an earlier decision and who can override it. For permissions, identify who can see sensitive matters and who can change billing settings.
Implementation Deliverables and Acceptance
| Work item | Handover outcome | Firm time to budget |
|---|---|---|
| Matter types and workflows | Agreed fields and task dependencies configured | Practitioner decisions and sample-matter testing |
| Permissions | Approved access groups applied | Principal approval and role testing |
| Billing and approvals | Agreed billing steps demonstrated | Finance review and correction of exceptions |
| Templates | Named templates populated from sample records | Checking text and field placement |
| Training and handover | Staff guidance and configuration notes delivered | Attendance and supervised practice |
| Post-launch support | Agreed correction window and escalation contact | Logging issues and confirming repairs |
Distinguish the partner’s invoice from your staff’s time. A fixed implementation fee can still require substantial decisions from the principal and finance team. Assign an internal project owner and reserve their availability before accepting the schedule.
Put additional matter types, template rewrites and extra training through a written change process. The scope must say which corrections are included and which requests attract a further fee. Compare the workflow fit separately in the Actionstep review when deciding whether the proposed configuration suits your practice.
Bringing Financial Matter Records Across
Migration costs depend on what must remain usable after the move, including the relationships between clients, matters and their source records. A contact import alone does not define a complete financial-matter migration.
Prepare a record inventory before the partner prices the work. Count open and closed matters separately. Identify source attachments, correspondence, historical invoices, receipts and ledger records that must remain accessible. Specify whether each class will move into the new system or remain in a separately searchable archive.
Give the migration scope explicit acceptance steps:
- Map client and matter identifiers before importing linked records. Record how duplicates and jointly held contacts will be handled.
- Compare source and destination counts by record class. Investigate missing attachments and records assigned to the wrong matter.
- Have the finance lead reconcile migrated balances to the agreed source reports. Keep opening balances distinct from detailed transaction history.
- Select sample matters covering different workflows and unusual records. Open their attachments and follow the client-to-matter relationship through to the financial history.
- Have the principal approve the migration after the finance lead and matter owners resolve exceptions. Keep the original records available under the agreed retention arrangements.
Price a trial migration and the final transfer separately where both are needed. Specify how changes made between those transfers will be captured, and budget any period of parallel access to the old system.
Financial analysis for a disputed matter is a separate engagement from moving the practice’s records. FinTrace takes hours of bank-statement review off the legal team’s workload and returns a searchable ledger with a source-backed findings report. Suspicious transactions are clearly flagged, with the supporting PDF filename and page at hand. Its fixed base fee plus per-page quote depends on the matter’s scope. FinTrace performs that statement-analysis work at a fraction of the cost of manual review or engaging a forensic accountant for the same work.
First-Year and Recurring Cost Examples
Use quoted rates with labelled planning quantities to model your practice. Keep unpriced components visible instead of treating them as zero.
Consider a hypothetical eight-user Australian practice that adds two users halfway through its first year. Assume the quote permits those additions for the remaining six months. The example uses an annual commitment, with the provider’s quoted annual seat rate divided by 12 for comparison.
Eight users for 12 months produce 96 seat-months. Two additional users for six months add 12, giving 108 seat-months in year one. Actionstep’s FAQ describes prorated charges for annual seat additions. The actual invoice uses the agreement’s rate and applicable minimum charge.
Hypothetical Budget Quantities
| Budget component | First-year model | Following full year with ten users |
|---|---|---|
| Core subscription | 108 seat-months at the quoted equivalent rate | 120 seat-months at the renewal rate |
| Selected module | Its own licensed users and start period | Continuing module users and renewal rate |
| Partner implementation | Agreed project quote plus authorised variations | Only further commissioned work |
| Migration | Agreed transfer scope and archive costs | Continuing archive access if required |
| Internal project time | 60 hours at an illustrative internal cost of $100 per hour | Separately budget continuing administration |
| Outside services | Quoted licences, connectors and parallel operation | Continuing services after old systems close |
The illustrative internal-time allowance is $6,000 excluding GST. This allocates staff cost separately from Actionstep and partner charges. Increasing that allowance to 90 hours raises the allocation to $9,000. Reallocating existing staff time also differs from paying an external project invoice, so show both in separate budget columns.
A module licensed to four users for the full year adds 48 module-user months at its quoted monthly equivalent rate. Licensing the same module to ten users adds 120. Record whether the proposal permits that selective licensing before using the smaller quantity.
The first-year cash budget combines the subscription invoices, partner milestones and separate supplier payments, with GST shown on each applicable line. Add internal time separately to assess the full resource cost. Until the subscription and project quotes are filled in, the $6,000 staff allowance is only one component, not a complete rollout total.
Contract Changes and the Cost of Exit
Renewal and exit costs follow the applicable subscription agreement and the implementation partner’s separate scope. Actionstep’s published terms provide for automatic continuation and no refund for remaining prepaid periods. A separately signed agreement prevails where its terms conflict, so compare the documents that will govern your practice.
The subscription FAQ says cancellation occurs through the system settings and ends access. It also recommends obtaining a backup before cancellation. The terms allow additional backup charges based on frequency, size and delivery requirements. Budget export assistance and destination-system migration separately from the right to receive a backup.
Include the usable export outcome in the proposal. Specify attachments, financial history and the identifiers needed to reconnect records after the move. A delivered archive needs a responsible person to open it and confirm that the required records can be found before access ends.
For comparable proposals, require a written schedule covering the following points:
- Product, region, paid user categories and minimum access charge.
- Modules and their licence counts, with included functionality distinguished from separately billed work.
- Currency, GST treatment, billing frequency and committed subscription period.
- Migration objects, archive arrangements and signed acceptance responsibilities.
- Implementation milestones, exclusions, variation rates and continuing support.
- Renewal pricing, seat changes, cancellation process and export assistance.
Choose between proposals on that shared scope. A cheaper licence line only reduces the practice’s budget if the workflow handover and retained records still meet the agreed requirements.
