Clio Pricing 2026 for Australian Law Firms
Compare Clio pricing for an Australian law firm, including plan scope, seats, billing terms and the cost of migrating client and matter records.

Clio pricing for an Australian law firm starts with the proposed plan and chargeable users, then adds intake services and the cost of moving records. Clio’s Australian sales team provides firm-specific quotes for Core, Signature and Elite. Use the written quote to budget the subscription, with migration and staff time costed separately.
A monthly equivalent on an annual contract does not give your firm a monthly cancellation right. That distinction can affect the budget more than a small difference in the advertised seat price.
Clio Pricing and the Australian Billing Basis
Use Clio’s Australian quote route to obtain the price for your proposed configuration. Ask for dollar amounts with GST shown separately, the charge per user and the total payable over the initial term.
Keep the commitment period separate from the invoice frequency. An annual total divided by 12 is a monthly equivalent. A monthly subscription has its own monthly term. Quarterly collection of an annual commitment still leaves an annual obligation.
Clio’s APAC terms apply to customers using its Australian application. The Order Document sets the initial term. Eligible annual subscribers can pay quarterly or semi-annually, but cancellation during the term can make the unpaid balance immediately payable.
For procurement, obtain two comparable totals where offered: the full annual commitment and 12 months at the monthly-contract rate. Compare the same users and modules on the same GST basis. Record any introductory discount and the price after it ends.
What the Proposed Clio Configuration Includes
Clio Manage handles the firm’s matter records, documents, time recording and billing. Clio Grow handles prospective clients, including enquiries, consultation booking and intake. Budget each job against the configuration that supplies it.
The Australian plan comparison distinguishes the following tiers.
| Plan | Configuration points that affect the choice |
|---|---|
| EasyStart | Manage with basic matter administration and billing; self-serve migration |
| Core | Adds custom fields, full-text document search, accounting integrations and two custom roles |
| Signature | Adds unlimited custom roles, matter stages, multi-currency billing and guided live onboarding |
| Elite | Combines Signature with Grow intake functions |
Grow intake forms and appointment booking are quote-based additions to Core and Signature. Elite includes those functions, while Grow AI has a separate per-hired-matter charging basis. Price that usage separately from the plan.
Write down who needs a login and what each person does. A receptionist capturing enquiries has different requirements from a partner controlling restricted matters. Specify the permissions and billing workflows before choosing a tier. Having document storage does not settle whether your firm also needs advanced document automation.
If the configuration is still open, compare the broader selection criteria in the guide to legal practice management software.
Seats, Add-Ons and the Recurring Bill
Calculate the recurring bill from the quoted chargeable users, each separately priced module and the applicable usage fees. Keep a minimum seat commitment in the calculation even if fewer people currently use the system.
For each subscription component, multiply the contracted user count by its rate for the billing period. Add firm-wide charges once. Then add usage at the contractual rate, allowing for any minimum charge. This avoids multiplying a firm-wide module by every user or treating a per-matter service as unlimited.
The Australian pricing table lists card payments at 1.75% plus $0.30 per transaction, excluding GST. It lists online bank transfers as free. A hypothetical $1,000 card payment therefore incurs $17.80 before GST. Use your expected payment mix when budgeting collection costs.
Add a separate line for any connected application’s own licence. Record who supplies it and which party invoices the firm. An integration’s availability does not make a separate supplier’s subscription part of the Clio quote.
Clio’s APAC terms charge upgrades from their effective date on a prorated basis. Reducing users or products during the term does not reduce that term’s fees. Account for departures against the renewal commitment, as well as arrivals against the next bill.
Client and Matter Records in the Migration Budget
Budget migration as a defined transfer and reconciliation job, with staff preparation costed alongside any supplier charge. Clio’s Australian migration service includes complimentary migration for many common systems. Complex migrations require their own scope and estimate.
The Australian migration overview distinguishes imported balances from financial history. Standard migration can bring across contacts and matters, with receivable and trust balances as summary entries. Documents require scoping and can attract volume-based fees. Historical invoices and financial transactions are outside that standard transfer, as are user permissions and settings.
Ask the migration quote to allocate responsibility for the following work.
- Map each client identifier to the correct person or company, including related contacts.
- Preserve matter identifiers and link each matter to its client.
- Inventory source attachments and agree their destination folders.
- Rebuild access permissions and test a restricted matter with the intended staff roles.
- Reconcile opening balances to the source reports and retain the historical records separately.
- Correct rejected records and wrongly assigned attachments, with an agreed allowance for another import.
Check relationships after import, as well as row counts. Open a sample spanning active and closed matters. Follow each client to its matters and attachments, then reconcile the balances. A matching total number of contacts will not reveal a document attached to the wrong client.
Agree the cut-off and who records work during the transition. Clio’s overview says entries made in the previous system after export need manual transfer. Put that reconciliation work into the migration budget instead of leaving it to staff after launch.
A First-Year Cost Example
Consider a hypothetical five-person Australian practice buying one year of Clio Manage, with no Grow module initially. Assume all five people need paid seats. The example uses the written annual per-user charge, called P, excluding GST. P is a variable for the actual quote, not an estimated Clio price.
Suppose the practice allocates 24 staff hours to preparation and migration checks at an illustrative internal cost of $60 an hour. That creates a $1,440 staff allowance. Assume complimentary supplier migration applies to the agreed records and there is no paid document transfer. These are scenario assumptions, not a promise about another firm’s migration.
| Budget component | First year, excluding GST | Later year, excluding GST |
|---|---|---|
| Five annual user subscriptions | 5 × P | 5 × P at the renewal rate |
| Internal preparation and checks | $1,440 | No repeat migration assumed |
| Supplier migration | $0 under the scenario assumption | No new migration assumed |
| Budget subtotal before payment usage | 5 × P + $1,440 | 5 × P at the renewal rate |
The staff allowance measures internal cost. It is an additional cash outlay only if the practice pays for extra hours or replacement cover. For prepaid annual subscriptions, first-year supplier cash outlay is 5 × P plus GST. Add actual migration invoices and usage charges when applicable.
A sixth user present for the whole year adds one annual user charge. A mid-term arrival uses the contractual proration rule. Adding Grow requires the quoted module charge and any hired-matter usage. Compare that increase against an Elite quote for the same users and intake scope.
Keep statement analysis for an individual legal matter in a separate matter budget. FinTrace takes over hours of monotonous statement review and returns a searchable ledger with a clear findings report. Each finding identifies its source PDF and page. The service is quoted per matter using a base fee plus page-based scope, at a fraction of the cost of manual statement review.
Contract, Export and Exit Questions
Budget leaving Clio as a records transfer, with an owner and a deadline for completing it. Under the APAC terms, subscriptions renew automatically. Cancellation takes effect at the term’s end and requires the administrator to complete the process through support. The terms give the firm 90 days after cancellation to retrieve its content.
Clio’s Australian export instructions require administrator permissions for bulk exports. They list separate CSV exports for matters, contacts and other record types. Outstanding balances use an accounts-receivable report. Specify document retrieval separately, including folder structure and the links between attachments and matters.
Use this procurement checklist before signing.
| Person accountable | What they confirm in writing |
|---|---|
| Practice manager | Named plan, paid users, minimum commitment and included modules |
| Finance manager or bookkeeper | GST, invoice frequency, full-term liability, renewal price and usage rates |
| Migration lead | Included records, document volume, balance reconciliation and remediation responsibility |
| System administrator | Restricted access, export scope and the cancellation process |
| Principal approving the purchase | Any paid exit assistance, retention arrangements and total transition allowance |
Ask for an itemised exit-assistance quote if staff will need help retrieving or rebuilding records. Obtain an export sample and confirm it supports the next system’s import requirements. Sign against the full commitment and migration scope, with the person responsible for each cost named.
