iManage is the best document management software for lawyers handling evidence-heavy matters with substantial email correspondence. It brings documents and emails into matter workspaces, with version history and controlled access. That makes it easier to retrieve the approved file and the communication that supplied it.

Other repositories suit firms with different email systems or an established Microsoft environment. Their practical differences appear in how staff file messages, edit documents and take a complete matter elsewhere.

Top Document Management Options for Lawyers in 2026

1. iManage

iManage ranks first for a legal team that needs correspondence and financial documents organised around the same matter. Work combines document search with a shared repository and real-time co-authoring. Staff can save a revised workbook as a new document version while keeping the original bank PDFs separate. Its version history applies to documents, while filed emails retain their own message record.

The Outlook connection supports filing messages and attachments, Send and File and linked folders for background filing. Work for Outlook supports Mac, the web and new Outlook on Windows. Desktop Office integration on Windows has a different installation path. This distinction matters when a firm expects browser email filing and desktop editing to behave identically.

Work Web supports document downloads, with administrators able to restrict bulk downloads to authorised groups. A download supplies a usable file, but a migration also needs the document identifiers and relationships around it. iManage sells subscriptions through a commercial proposal. Compare licence quantities, storage allowance, email deployment and migration services as separate quote lines. Its main trade-off is the implementation needed to make those controls match the firm’s filing rules.

2. NetDocuments

NetDocuments ranks second for firms that want a cloud legal repository with documented Outlook and Gmail email-capture connections. Its email management supports conversation filing and folder mapping. A Global Filing Indicator shows that a message has already been stored, helping colleagues avoid filing it again.

NetDocuments combines document and email search with workspace access settings. Its version controls let users open document versions, while SetBuilder can deliver a structured ZIP or a hyperlinked PDF document set. That is useful for handing over a selected bundle. The bundle and the full repository history have different purposes, so keep a separate migration specification for versions and metadata.

The service uses subscription fees governed by an order form. Price the selected modules, users, storage and implementation together. Browser access helps mixed-device teams, but the installed ndMail client has Windows and desktop Outlook prerequisites. NetDocuments also has a separate ndMail for Microsoft 365 route. Its main limitation for a mixed Mac and Windows firm is that the chosen email and editing components need an explicit deployment design.

3. Microsoft SharePoint

Microsoft SharePoint ranks third for a firm with Microsoft administration expertise and an established Microsoft 365 environment. Document libraries have version history and access controls. Real-time co-authoring suits a working report or spreadsheet. The firm must design the matter structure and filing responsibilities around those library functions.

Microsoft lists Business Basic with Teams at $10.50 per user per month, paid yearly under an annually renewing subscription, excluding GST. It includes SharePoint and web or mobile Office applications. Desktop editing licences, additional storage and advanced governance can change the total. SharePoint’s pooled storage allowance is distinct from each person’s OneDrive allowance, so do not budget matter storage from the latter figure.

SharePoint works through the browser, and its files can sync to a Mac through OneDrive. Selected folders can download as a ZIP. Ordinary library storage still needs an email-capture process that preserves messages and their attachments together. A configured connector or additional filing product adds work and cost. SharePoint is the strongest choice here when the firm can own that configuration, rather than expecting a legal matter repository to arrive ready to use.

File Emails and Attachments to the Right Matter

File the original message and its attachments under the same matter identifier so the repository preserves who supplied the material and in what context. Saving an attachment alone loses the surrounding request or explanation. Assign a filing owner, including for shared mailboxes, and record successful filing before the team relies on the repository copy.

iManage’s filing details and status icons show where a message has been stored. Its documented duplicate check uses message identity, sent date and subject. NetDocuments has conversation filing, mapped folders and a filing indicator. Both provide a connection from the mail system into the repository. SharePoint needs the firm’s configured capture route to carry the message record and its attachment relationship into the library.

A duplicate indicator answers whether a message was filed. It does not establish that two differently named PDF attachments contain different evidence. Retain the delivery record when a client resends a statement. If the firm identifies identical content, link that delivery to the retained original and record the duplicate decision. Keep a revised attachment as a separate received document until its relationship is established.

Mailroom automation and document imaging need the same discipline. Register the delivery, scan the paper and identify the proposed matter before controlled filing. Compare page counts with the delivery inventory, inspect both sides where relevant and route unreadable images or missing pages to an exception queue. Retain the received scan while requesting a clearer replacement. Record duplicate deliveries without silently discarding their receipt history.

Optical character recognition (OCR) adds searchable text to a scanned image. Review the matter assignment and scan quality before releasing the file to the team. Automated routing can save filing time, but a readable filename alone cannot establish that every page arrived. Specialist correspondence procedures belong in the firm’s legal email management workflow.

Preserve Source Statements Beside Reviewed Analysis

Keep received bank PDFs as controlled source records, with analysis stored as related working documents. A spreadsheet organises transactions. Review comments record questions or decisions, and the findings report explains the conclusions. Each document needs its own identity even when all belong to the same matter.

Consider a fictional matter, LDM-042. The repository holds Bank-A-original.pdf, a transaction workbook and a reviewed findings report. A workbook row points to page 18 of the source PDF. The reviewer opens that exact retained file and page from the reference, without guessing which renamed copy the analyst used.

If additional statements arrive, retain the first analysis version and create a revised workbook linked to the added sources. Save the accompanying review comments with that version. Mark which report the supervising solicitor approved. Never replace a source PDF with an annotated working copy carrying the same apparent identity.

FinTrace removes hours of statement conversion and review, delivering a searchable Excel ledger and a clear findings report. Every finding names its source PDF and page, so the supporting evidence is already at hand. The firm stores those delivered files beside its preserved statements in the chosen repository. That relationship makes the analysis useful to lawyers and forensic accountants without a new filing system to learn.

The distinction between the received record and its analysis also matters when using bank statements as evidence. When the immediate task is extracting structured transactions, bank statement converters address that separate step.

Control Versions, Search and Confidential Access

Identify the approved document through its recorded approval and version, rather than its filename alone. Checked-out editing gives one person an editing session. Co-authoring allows authorised colleagues to work on the same document together. Version history preserves successive states. These controls help different tasks and need a shared rule for when a working version becomes approved.

iManage documents new-version saving and co-authoring. NetDocuments exposes versions through its document controls. SharePoint libraries support version history and collaborative editing. For a financial report, record the approved version identifier in the matter’s review record. A later edit starts another review state even if the title still contains the word final.

Search needs both metadata and readable content. Filter by matter number and document type. Add the account holder or source identifier before searching transaction wording. iManage Work’s cloud search supports OCR, and NetDocuments has configurable OCR processing. Microsoft’s document-processing and Purview OCR functions require their own configuration. A subscription to storage alone does not establish that scanned statement text has been indexed.

OCR search can locate a description in an image. Verified transaction extraction also needs the correct amount, debit or credit direction and source relationship. A searchable scan therefore cannot replace a reviewed transaction ledger. Preserve the image when OCR misreads a digit, and use metadata to retrieve the record even when its text is poor.

For fictional matter LDM-042, give the financial-dispute team access to its workspace and restrict an unrelated confidential matter to its own team. A reviewer searches within LDM-042, opens the approved report version and follows its source reference. The reviewer must not gain access to the other matter through a broad search result or shared link.

Revoke workspace membership and external links when someone leaves the matter. Also address synced copies and exported files under the firm’s device policy. Removing a repository permission cannot retrieve a copy that has already left the system.

Keep Retention Holds and Exit Exports Usable

Record a preservation hold against the material it covers and suspend routine disposal until the authorised person releases it. Give the hold a responsible person, scope and reason. Include relevant messages and analysis versions as well as original PDFs. A folder called Hold cannot enforce those decisions by itself.

Retention classes set the normal lifecycle for different record types. A preservation hold interrupts disposal for a particular legal or investigative need. Document the disposal review and approval after the hold ends. The applicable period depends on the firm’s jurisdiction and record obligations, so use its approved retention schedule rather than one blanket period for all matters.

iManage lists separate records and disposition products alongside Work. NetDocuments’ governance and workspace controls need to form part of the purchased configuration. In Microsoft 365, retention policies and labels can preserve SharePoint content in a Preservation Hold library. Microsoft explains that held content is retrieved through compliance tools. Ordinary folder navigation is therefore an incomplete picture of what the system retains.

Specify the exit package before migrating. Include source files in their original formats, retained email records with attachments, document identifiers, matter identifiers and metadata. Require the necessary versions, approval records and source-to-analysis relationships. Add an inventory with file counts and a record of anything the export excludes.

Work Web downloads, NetDocuments’ structured document sets and SharePoint ZIP downloads provide different delivery routes. None of those file-download descriptions establishes a complete migration of permissions, audit events or historical relationships. Agree the full export scope separately, including held and archived records.

During a migration rehearsal, open the exported email and attachments, retrieve the approved report version and trace its sample finding to the source page. Reconcile counts and identifiers with the original inventory. Keep the old repository available under controlled access until the receiving system and the firm’s responsible person accept the transfer.

Choose a dedicated legal document management system when controlled correspondence and documents need their own repository across the firm. A practice-platform document module can suit a team whose filing centres on one matter system. Shared cloud storage provides file access, but the firm still owns its matter metadata and capture rules.

Link the practice-system matter identifier to the repository workspace so opening a matter retrieves the correct file set. Keep task assignment and deadlines in the case management software for lawyers workflow. A documented integration can remove duplicate entry of matter details. Manual copying and a custom automation have different support responsibilities from a native connection.

For iManage, the Outlook filing connection and document controls make it the lead choice for a correspondence-heavy financial practice. Include email deployment, storage growth and governed exit work in its proposal. NetDocuments is the alternative for a cloud legal repository where its email connections and document-set handover fit the firm’s working pattern. Include its selected client components and modules in the same scope.

SharePoint has the clearest published entry price in this comparison, but configuration and governance remain part of its cost. Budget separately for migration mapping, email capture and administration. Price archive growth and version storage as well as active files. A lower licence cost can leave the firm with more responsibility for running the repository.

For a Mac or browser-based team, specify the actual tasks each component supports. iManage documents cross-platform Outlook filing, while its Windows desktop integrations follow a separate path. NetDocuments distinguishes the Windows ndMail client from its Microsoft 365 route. SharePoint supports browser editing and Mac synchronisation, while desktop editing depends on the Office licence. An accessible web login alone does not prove every email, editing and export function is equivalent.

Select iManage for the central evidence-heavy workflow, NetDocuments when its cloud filing model better fits the team, or SharePoint when the firm can maintain its own repository design. Put the chosen email connection and a complete, readable exit package into the implementation scope before moving the first live matter.
