How to Spot a Fake Bank Statement

Check whether a bank statement is fake the way investigators do: balance maths, layout and metadata. Learn the signs of bank statement fraud.

A fake bank statement can be spotted by recalculating balances, checking continuity between statements and comparing the document with records obtained directly from the bank. Layout and PDF metadata can expose further inconsistencies. A failed check gives you a reason to obtain the bank’s version before relying on the produced copy.

For a lawyer reviewing disclosure, a closing balance that differs from the next opening balance is a concrete starting point. Preserve the supplied PDF and record exactly where the discrepancy occurs. The comparison must use the same account and statement periods.

Quick Checks That Expose a Fake Bank Statement

Start bank statement verification with the figures, then check the sequence and the transaction dates. Work on a copy and retain the original file, including the email or production record through which it arrived.

  1. Recalculate a suspect line from the preceding balance. For a deposit account, add credits and subtract debits. The result must match the printed running balance.
  2. Compare the closing balance with the next statement’s opening balance. Confirm that the periods are consecutive and the account number is identical.
  3. Inspect transactions dated on bank holidays or weekends. Identify the payment type before treating the date as inconsistent.
  4. Record any failed check and request a bank-certified copy for the disputed period. Include the surrounding periods when continuity is in question.

A holiday transaction is possible. The Reserve Bank says its fast settlement service operates every day of the year. Card activity and a statement’s posting date also need to be distinguished from the time a payment was made.

A single unexplained arithmetic failure or missing period warrants a request for authentic records. It does not establish who altered the document. An extraction error or an incomplete bundle can produce a similar symptom, so compare the actual PDF with the calculated result.

Running Balance and Continuity Tests

Recalculating every line exposes an edited amount when the displayed balances retain the original figures. Carry each calculated balance forward, rather than restarting from each printed balance, so a discrepancy remains visible.

This fictional deposit-account example starts at $5,000. The transfer debit has been changed from $1,200 to $200 while the displayed balances remain unchanged.

EntryCredit shownDebit shownBalance printedBalance calculated from shown entries
Opening balance$5,000$5,000
Salary credit$2,000$7,000$7,000
Edited transfer$200$5,800$6,800
Rent payment$800$5,000$6,000

The edited transfer creates a $1,000 discrepancy. That discrepancy persists through the rent payment. Using the original $1,200 transfer gives $5,000 plus $2,000 minus $1,200 minus $800, which equals the printed closing balance of $5,000.

A falsified document can have internally consistent balances if several figures have been changed together. Passing the arithmetic test therefore leaves the bank comparison necessary where authenticity remains disputed.

The following fictional sample bank statement PDF extract adds a continuity check to the altered-amount specimen. Both extracts identify the same deposit account ending 4321. The periods are consecutive.

Specimen annotationPrinted recordWhat the check establishes
A: altered amountTransfer debit $200; printed balance $5,800 after $7,000.The arithmetic requires a $6,800 balance. The shown debit and balance disagree by $1,000.
B: period closingFirst period closes at $5,000.This is the balance to compare with the next opening figure.
C: next period openingFollowing period opens at $4,500.The consecutive periods disagree by $500. Obtain the bank’s records to explain the difference.
D: missing pageBundle contains pages 1 and 3 of a three-page statement.Page 2 is absent from the bundle. The bank’s complete statement establishes its contents.

Annotations A and C identify discrepancies. Annotation D establishes a missing page, although it does not establish who withheld it. Bank confirmation determines which amounts and pages belong to the authentic record. A fabricated statement with consistent figures can pass these checks.

Check page numbering and statement numbers across the bundle. A missing page or skipped statement period can identify withheld material, but the gap alone does not establish deliberate concealment. Request the complete sequence and record whether a period contains no activity or is actually absent. For the wider process, use bank statement reconciliation across the full set.

FinTrace saves hours of manual statement review by consolidating large PDF bundles into a searchable ledger and a source-backed findings report. Its analysis makes missing statement periods visible and gives lawyers and forensic accountants the supporting PDF filename and page beside each finding.

Layout, Font and PDF Metadata Checks

Compare suspicious typography and account details with a genuine statement for the same bank, product and approximate period. Look for a different font on one amount, uneven decimal alignment, a shifted balance column or descriptions inconsistent with the bank’s wording.

Check the BSB against the bank and stated branch using AusPayNet’s BSB lookup. A mismatch calls for explanation, especially where the document names a different institution. Branch changes and bank template revisions need to be considered before attributing a mismatch to forgery.

Inspect the PDF’s document properties for its creator, producer and creation or modification timestamps. Compare those fields with an original bank download when available. A later modification timestamp can reflect combining pages, scanning or saving the file through another programme. It does not identify which transaction changed.

NAB’s published sample statement contains creator and producer fields as well as creation and modification timestamps. Those fields describe that file’s production history. They do not establish a universal metadata profile for NAB or other banks.

PDF metadata can be edited or removed. A familiar producer name does not authenticate a statement, and an unfamiliar programme does not prove fabrication. Preserve the file before conversion, because exporting or printing it to PDF can replace useful metadata.

Confirming With the Issuing Bank

Obtain the bank’s record for the exact account and period, then compare it line by line with the produced statement. Confirm the account holder and identifiers before comparing balances or transactions.

With the account holder’s signed authority, request the records directly from the bank through its verified contact channel. In proceedings, a subpoena addressed to the bank can require production, subject to the applicable court’s leave and service rules. The Court’s family law subpoena guidance explains that process.

A notice to produce can require a party to supply documents under the relevant procedural rules. It does not turn the party’s own copy into independent bank confirmation. If authenticity is disputed, seek direct bank production or a bank response to a signed authority. See how to obtain subpoenaed bank records for the collection procedure.

A bank-certified copy confirms the copy against the bank’s records. A letter confirming the account can establish the holder or account details within its stated scope. An account-confirmation letter that says nothing about the disputed transactions cannot verify the complete statement.

With the holder’s consent, Consumer Data Right banking can share transaction data from the bank with an accredited recipient. That data provides another comparison route. Preserve the consent, account coverage and receipt history, then distinguish the bank data from categories or summaries added by the recipient.

Records produced by the bank under subpoena have a direct bank provenance. Bank certification or a bank witness can also support the origin of records. A third-party open banking report requires evidence of its source and handling. A court decides admissibility and weight under the applicable rules, rather than treating any verification label as automatic proof.

The comparison is complete when every disputed line has either a matching bank entry or a recorded difference. Keep both versions and a schedule identifying the page, amount and description at each difference.

Bank Statement Verification Software and Its Limits

Bank statement verification software screens supplied documents for inconsistencies and produces a result that can guide further investigation. Lenders also use direct account-data feeds to compare income and transactions with applicant-supplied documents.

Credit Sense Authenticate describes a fraud check developed using known genuine PDF statements. Its report gives a fraud rating for each supplied statement and identifies missing statement periods across accounts. Other products use their own checks, so the report’s stated method determines what its result covers.

A fake bank statement detector’s result is not itself proof of forgery in litigation. Retain the file assessed, the report and the explanation of what was tested. An automated flag still needs the underlying discrepancy and bank records to support the allegation. A pass cannot establish that every relevant account or period has been supplied.

Use software to identify where to investigate, then obtain the issuing bank’s record for the disputed content. Keep authenticity testing separate from analysis of suspicious transactions within an otherwise genuine statement.

Consequences of Producing a Fake Statement

Making or knowingly using a false bank statement can attract criminal liability when the relevant offence’s intent requirements are met. An accidental arithmetic error does not automatically establish that intent.

In NSW, Part 5 of the Crimes Act 1900 includes forgery under section 253 and using a false document under section 254. They concern inducing acceptance as genuine for the specified property, financial or public-duty purposes. The Judicial Commission’s forgery guidance records maximum penalties of 10 years for those offences.

In Victoria, section 83A of the Crimes Act 1958 covers making or knowingly using false documents with the prescribed intention to cause prejudice. The maximum is 10 years. Section 83B abolishes the former common law forgery and uttering offences.

In Queensland, section 488 of the Criminal Code addresses forging or uttering a forged document with intent to defraud. Its maximum penalty depends on the document class. The general category carries three years, while specified classes carry seven or 14 years. Document classification requires attention to the particular record.

In family law proceedings, false disclosure can undermine credibility and expose the party to costs orders. The Court’s disclosure guidance also lists exclusion of evidence, a stay or dismissal and contempt consequences. The court can draw adverse inferences from unexplained non-disclosure when the evidence supports them. That does not automatically prove a particular hidden balance or transaction.

For other signs of concealment, see investigating hidden assets in divorce. Keep the allegation tied to the actual differences and the bank’s response, rather than asserting bank statement fraud from appearance alone.

Can Transactions Be Removed From a Statement

No, an account holder cannot delete a completed transaction from the bank’s own record by changing an app view or editing a downloaded statement. A filter or category change affects the customer’s display or analysis, not the underlying transaction history.

Westpac lets customers change a transaction’s subcategory. ANZ’s app terms allow category changes in its Spend Summary. Those functions organise spending. They do not authorise removal of entries from a bank-issued statement.

Removing a transaction from a PDF and presenting the edited file as the bank’s complete statement creates a false document. In the fictional example, deleting the original $1,200 transfer would leave $7,000 followed by an $800 debit and a printed $5,000 balance. The expected balance is $6,200, exposing the missing $1,200 movement.

If a transaction is wrong, dispute it with the bank. Keep the disputed entry and the bank’s resolution together. A refund or correcting entry adds to the account record instead of letting the customer erase the original transaction.

When you receive a statement with a removed line or unexplained balance jump, retain that version and request the bank’s complete record. Compare the correction or reversal alongside the original entry so the final transaction history remains traceable.
