LEAP Pricing 2026: Australian Practice Costs
Work out LEAP pricing for your Australian practice, from licence scope and billing to migration, training, optional services and exit costs.

LEAP pricing in Australia is quoted per user per month for a set contract term. LEAP does not publish a public list price. Your practice needs a written proposal covering its users, licence scope and implementation work before it can calculate a first-year budget.
A monthly payment also needs a contract end date beside it. Compare the cash you will pay during the first year with the amount you commit to over the whole agreement.
LEAP Pricing and the Local Quote
Get an Australian LEAP quote through its sales contact page, with a user count and description of your practice. LEAP’s Australian product information explains its per-user quotation model.
Include everyone who needs access in your request, including support staff and your bookkeeper. Identify any planned recruitment and whether you need access across offices. Ask for the charge applicable to each user category instead of assuming every staff member attracts the same rate.
The Australian terms make quoted fees tax-exclusive unless expressly stated otherwise. Monthly amounts are paid monthly, while upfront payments follow the order form. Request the GST-inclusive payment schedule alongside the quoted base fees.
Before approving the proposal, put the initial term and first payment trigger beside the monthly amount. Ask how an installation delay affects billing. These details determine when cash leaves the practice, even before everyone is using the new system.
Licence Scope and Optional Services
A LEAP subscription covers practice-management functions around matters and documents, with legal accounting, billing and Australian forms. LEAP describes its built-in legal AI as included in the subscription. Treat these as the starting scope for a proposal, then match the order form to the functions your staff need.
Build a short licence schedule with a row for each required activity. For example, record document storage and automated forms separately from trust accounting and staff access. Add the service name, permitted users and any usage charge to each row.
LEAP’s Australian support resources describes chat and email assistance, help resources and complimentary Client Success Manager visits. LEAP University is complimentary for clients. Separate these services from any dedicated installation or training work specified in your proposal.
Third-party products can carry their own terms and fees. For each integration you intend to use, ask whether its subscription or transaction charges sit outside the LEAP licence. Include any required external software in the practice budget, with its own supplier and renewal terms.
A second office belongs in the requirements you send to sales. Ask whether it changes setup, access or support charges. Do not add a standard branch fee to your budget without a quoted charge.
LEAP Cost Beyond the Licence
The full LEAP cost includes the subscription, quoted implementation work and your practice’s own time preparing for the change. An installation line marked as included does not remove staff time spent cleaning records or learning new routines.
Use this schedule to keep supplier charges separate from internal work.
| Budget item | Amount to enter | What to settle before signing |
|---|---|---|
| Recurring licence | Written user rate and payment schedule | User categories, term and GST |
| Installation | Included amount or separate quote | Named supplier and setup work |
| Data conversion | Transition proposal | Source system and records included |
| Dedicated training | Included sessions or separate quote | Attendees, hours and follow-up |
| External services | Relevant supplier charges | Subscriptions and transaction fees |
| Practice time | Your staffing estimate | Preparation, reconciliation and training |
| Overlapping systems | Existing and new subscriptions | How long both remain available |
Installation and training can involve authorised external consultants. Data transition follows its own order form, and the practice remains responsible for transferred-data accuracy.
Assign a staff member to reconcile the proposal against the licence schedule. If conversion covers client and matter details but not historic documents, price the remaining document work separately. Request an itemised amount for chargeable assistance and a written description of included onboarding.
Migrating Trust and Matter Records
Budget for checking the transferred records before staff depend on them for live work. A clean list of imported matters does not establish that every document opens or that every balance agrees.
Use an agreed migration sample followed by a full reconciliation appropriate to the records being moved.
- Match client identities and matter numbers between the old and proposed systems. Resolve duplicate names and closed matters that should remain archived.
- Open documents from their migrated matters. Check that links reach the correct files and that attachments stay with the right client.
- Reconcile relevant account balances to the old system’s closing reports. Keep trust balances separate from office balances and identify differences by matter.
- Assign each difference to a named person. Agree who corrects the data, who retests it and who approves readiness for live work.
Give the reconciliation to the staff member responsible for those records, with the principal approving the result. The migration supplier needs a clear list of exceptions to resolve. Keep the source records available while corrections are under way.
Allow time for a failed check to delay the changeover. That can mean another period of old-system access and more staff hours. Wider client-money obligations are covered in the guide to trust accounts.
A LEAP Legal Software Cost Scenario
For an illustrative three-user practice, the first-year licence calculation is 36 times the quoted monthly user rate. This assumes all three users have the same rate and remain subscribed for 12 months. It does not imply a 12-month contract.
Call the quoted monthly rate excluding GST P. The quantities below use LEAP’s per-user monthly basis, with P left for your written quote. They are calculations, not advertised LEAP prices.
| Scenario | Licence calculation excluding GST | Assumption |
|---|---|---|
| Three users for 12 months | 3 × 12 × P = 36P | Same quoted rate for each user |
| Four users for 12 months | 4 × 12 × P = 48P | All four quoted at P |
| Three users, plus a fourth for six months | 36P + 6Q | Q is the separately quoted added-user rate |
The complete first-year budget adds quoted installation, conversion and dedicated training to that licence amount. Add external services and internal staff time separately. Keep an unpriced component visible until its amount is agreed, instead of treating it as zero.
For a separate illustration of internal work, 24 staff hours at an assumed employment cost of $60 per hour equals $1,440. Those are hypothetical practice inputs, not a LEAP charge. Replace them with your estimate of preparation, training and reconciliation time.
A practice starting with new matters has different conversion work from one transferring years of records. Keep the user calculation unchanged while pricing those two migration scopes separately. This shows whether a larger first-year budget comes from the licence or the records being moved.
Renewal, Export and Leaving Costs
Renewal and exit provisions affect the later cost of LEAP even when the first-year quote fits your budget. The contract documents include General Terms, Product Terms and Third Party Terms alongside the order form.
Renewal is automatic unless the order form says otherwise or the agreement ends. Convenience termination requires at least 30 days’ written notice for the term’s end. Fees can increase on notice during renewal.
The Australian provisions distinguish Flexi added users from co-termed users, whose access runs to the term’s end. Ask which category applies before pricing a temporary hire.
After ordinary expiry or convenience termination, historical access for extracting data costs the then-current single-user monthly amount until completion notice. Include that access in your exit plan.
Request written answers to these questions with the proposal.
- What are the initial term, renewal term and notice requirements for this order?
- What is the rate for each user category, including temporary staff?
- Which installation, conversion and training work is included, and who supplies it?
- Which support services are included, and which require a separate booking or fee?
- What can the practice export, in which formats, with which document and matter relationships preserved?
- What assistance and access will the practice pay for while completing the export?
Arrange a sample export and identify who will check it before ending access. Price any conversion into the next system separately. For the wider suitability decision, use the LEAP review alongside the written cost proposal.
