PayPal Transaction History: Export and Check Records
Export PayPal transaction history for authorised financial review, preserve the source files and check currencies, fees and transfers against bank records.

PayPal transaction history can be exported from an authorised account, checked for the required period and paired with bank entries. Keep the original export beside available account statements and transaction details so the legal team can follow payments beyond a bank’s PayPal description.
Collect the Right PayPal Activity Records
Collect PayPal activity for each authorised account that falls within the review period. Confirm the holder’s identity, the account email or identifier and whether the account is personal or business. Record the authority to obtain the records before collection. Have the holder download them or use access granted for that purpose.
PayPal is not a bank. In Australia, its Australian account disclosure identifies PayPal Australia as a provider of purchased payment facilities. This is a limited category of authorised deposit-taking institution, distinct from a general banking business. Collect its payment-account activity as a separate source alongside the holder’s bank statements.
Start with the requested review period and a list of relevant bank or card accounts. Ask for available PayPal statements and details of transactions requiring explanation, as well as the activity export. A bank debit labelled PayPal can show how a payment was funded without identifying the ultimate recipient.
Download the Activity for the Required Period
Use PayPal’s web reporting route to export the selected account’s activity. The Australian download instructions start at Activity. Business accounts also have a Reports route, described in PayPal’s reporting guide.
- Sign in through the account holder’s authorised access and confirm the account being viewed.
- Open Activity, select the download icon and choose Custom. In a business account’s Reports area, open Activity download where available.
- Set the start and end of the required period. PayPal documents access to the past seven years, with a maximum of 12 months per activity report. Divide a longer review into adjoining requests and record each range.
- Choose CSV for a spreadsheet working copy. Retain a PDF report or available statement for readable reference. The documented activity formats also include TAB. Use the formats offered for that account.
- Select All transactions where the business reporting screen provides that transaction-type option. Keep any transaction-status filter unrestricted for the source collection. Preserve pending and reversed entries, then separate them during review.
- Include the fields needed to follow the money. Keep transaction identifiers and reference identifiers alongside amounts and currencies. Add bank-reference or funding-source fields when offered.
- Create the report and download it when ready. Open every file received and compare the requested range with the report settings. PayPal says large activity logs can take up to five business days to generate.
For monthly statements, open the account’s statements area, request the required month and download the completed file. Keep each requested period in the collection log, including periods for which a statement is unavailable.
Check Coverage, Balances and Missing Activity
Check the account and requested range before analysing totals. Record the first and last transaction in each file, but do not assume these dates define coverage. A quiet account can have days without activity inside a correctly requested period.
Compare currencies and available balance information with the requested records. For each currency, reconcile the opening balance and balance-affecting movements to the closing balance where the supplied report permits it. Retain the report’s status and transaction-type fields so authorisations or other non-balance entries are not counted as settled movements.
Use these checks when the file does not explain the expected activity.
- An empty file requires an account and filter check. Confirm the holder’s account, selected period and transaction-type or status restrictions, then generate the corrected report.
- Missing earlier activity requires a coverage check. Compare each requested range with the seven-year activity window and 12-month request limit. List older records separately for a records enquiry.
- A mismatched period requires a report-settings check. Confirm that a preset range or an earlier completed report was not downloaded accidentally.
- A balance difference requires a currency and status check. Compare like currencies, identify pending movements and account for refunds or reversals before treating the difference as unexplained.
If the corrected request still leaves a gap, use PayPal’s support instructions. An authorised user can open Message Centre and select New Message. Give the account reference, requested period and report type, with a description of the missing records. Retain the response with the collection log.
Read Fees, Refunds and Currency Movements
Read each PayPal entry using its own currency, transaction type and status. PayPal’s Activity Download field definitions distinguish Gross, Fee and Net. Gross is the transaction amount before the fee deduction. Net is the resulting amount, typically gross less fees. Preserve the signs used in the file.
The following entries are illustrative, not a fee quotation or a real account extract.
| Illustrative entry | Recorded amounts | Review treatment |
|---|---|---|
| Receipt | Gross AUD $100, fee AUD -$3, net AUD $97 | The fee explains the difference between the receipt and its net balance effect |
| Full refund of a payment | Original payment AUD -$60, later refund AUD $60 | Retain both entries and connect the refund to the original payment |
| Reversed movement | Original debit AUD -$40, reversal AUD $40 | Read the status and references before counting a completed expense |
| Currency conversion | AUD -$150 and USD $96 | Keep both currency legs as one conversion, with its recorded relationship |
A refund can fall in a later review period than the payment it returns. Preserve that relationship even when the original transaction sits in another export. A reference transaction identifier, where populated, helps connect related entries.
The illustrative conversion reduces the AUD balance and increases the USD balance. It is one movement between currencies. Adding 150 and 96 as if they shared a currency produces a meaningless total. Counting both legs as spending also overstates outgoings. Keep any later USD payment separate from the conversion that funded it.
Use the conversion details actually recorded. The amount received can reflect PayPal’s transaction exchange rate and currency-conversion charge. Do not invent a separate fee row or substitute a current market exchange rate for the historical record.
Pair PayPal Transfers With Bank Entries
Match the bank movement to the corresponding PayPal funding or withdrawal entry before classifying the underlying payment. Compare any shared bank reference, then use the amount and currency with the recorded timing. Keep the PayPal transaction identifier even when the bank statement does not show it.
Consider this illustrative withdrawal. PayPal records AUD $240 leaving the holder’s balance. Two business days later, the holder’s bank records a PayPal credit of AUD $240. A matching bank reference, where available, strengthens the pairing. Record both source locations and the timing difference in the working schedule.
That pairing explains a transfer into the holder’s bank account. The AUD $240 credit alone does not establish new income or identify the person who originally paid into PayPal. Follow the earlier PayPal receipt separately to its recorded counterparty and transaction details.
Apply the same distinction to funding. A bank debit can fund a PayPal payment, while an existing PayPal balance can also contribute. Under PayPal’s Australian user agreement, the funding debit can precede or follow the recipient’s payment, or occur at the same time. Exact same-day matching is therefore too narrow.
Where several entries share an amount, keep the match unresolved until the references or supporting details distinguish them. Record the competing candidates and missing evidence. Do not assign a recipient from a bank description alone.
Preserve the Source and Confirm the Handover
Keep the downloaded PayPal files unchanged and analyse working copies. Store any original ZIP with its extracted files. In a separate collection log, record the account identifier, requested period, export format and filters. Add who collected the files, when they collected them and the authority used.
Keep spreadsheet formatting changes and your matching notes in the working copy. Preserve identifiers as text so spreadsheet software does not alter them. Give each unresolved gap or transfer a reference that the legal team can carry into further enquiries.
Place the PayPal records beside the bank-statement collection for the matter. FinTrace saves lawyers, forensic accountants and investigators hours of bank-statement review by turning supplied PDFs into a searchable Excel ledger and a clear findings report. Every finding cites its source PDF filename and page, putting the supporting bank evidence directly at hand.
Before handover, open the files from the delivery folder and confirm that another reviewer can:
- Identify the account and requested coverage, including missing periods.
- Separate currencies and distinguish settled activity from other statuses.
- Follow the illustrative bank-pairing method through the actual source references in the working schedule.
- See which transfers remain unresolved and what records are needed next.
Deliver the originals, working schedule and collection log together so the next reviewer can continue from the recorded matches and gaps.
