FinTrace vs Excel for Bank Statements 2026
Before building a bank-statement schedule in Excel, compare the preparation and checking work with FinTrace’s service and its reviewable spreadsheet.

FinTrace is the better choice over Excel for teams who want their bank-statement analysis done for them and hours returned to professional work. Excel suits teams who want to review a prepared schedule and control their own calculations.
Commission the Analysis or Build It in Excel
Commission FinTrace when the job starts with a bundle of statements and ends with findings you can act on. FinTrace converts and categorises transactions, traces transfers and flags suspicious activity. You receive a searchable Excel ledger and a written report, with every finding tied to its source PDF filename and page.
The service handles thousands of PDFs through staged extraction and consolidation. Advanced AI workflows use source-grounding checks and independent reviews to preserve transaction facts across the matter. Forensic accountants use that preparation to free time for interpretation and specialist work.
Microsoft Excel is spreadsheet software for organising and analysing data. Your team can build a statement schedule in it, or use it to extend the workbook FinTrace delivers. Commissioning the analysis keeps the spreadsheet available for your own work.
Responsibility and Deliverables
| Decision | FinTrace | Excel |
|---|---|---|
| Preparation responsibility | FinTrace processes the supplied statement bundle | Your team configures imports and prepares the schedule |
| Starting material | PDFs as held, including scans and mixed accounts | Imported data or a workbook your team prepares |
| Result | Categorised ledger and source-backed findings report | Workbook shaped by your queries, formulas and review |
| Commercial basis | Written per-matter quote, with a base fee plus per-page component | Software licence, plus the staff time spent on the matter |
| Further calculations | Your team works with the delivered Excel ledger | Your team controls formulas and additional worksheets |
The deciding question is who will do the preparation and investigation behind the workbook. A software licence and a completed statement-analysis service buy different work.
The guide to bank statement analysis software explains the wider choice of workflows. The FinTrace comparisons cover other named services and tools.
Excel Can Import PDFs
Excel can import tables from PDFs through Power Query in supported versions. It can also combine multiple files, so an Excel workflow need not involve typing every transaction.
Microsoft’s Excel data-source table lists the PDF connector for Microsoft 365 on Windows. Its Mac import list omits PDF, while its web list includes PDFs in SharePoint or OneDrive for work or school. The instructions below describe the supported Windows workflow.
In Excel, select Data > Get Data > From File > From PDF. Choose the file and inspect the detected tables in Navigator. Select Transform Data to clean the table before loading it. For several PDFs with a similar structure, Microsoft documents combining files through a connector such as Folder.
Microsoft’s PDF connector guidance describes repairs for multiline rows and options for processing smaller page ranges in large files. An import needs inspection where a description wraps onto another line or headers repeat between pages.
Preserve the account identity before combining tables. A column of amounts alone cannot tell you whether two entries belong to different people or opposite sides of a transfer. Keep the source filename and page reference through each transformation, then inspect the combined schedule against the statements.
FinTrace takes on this preparation across the supplied bundle, including scans. Your team receives the combined ledger without first sorting or renaming the PDFs.
Build a Schedule That Can Be Checked
A checkable schedule preserves the original statement facts beside any classification your team adds. Retain the source PDFs alongside the workbook, using stable filenames so a reference continues to identify the same document.
The fictional worksheet below illustrates the fields to preserve. “Transfer day” stands in for the transaction-date value. A working schedule records the actual date printed on each statement. The page numbers identify PDF pages starting at one.
Fictional Transaction Worksheet
| Source file and PDF page | Holder and account | Transaction date | Description | Debit or credit | Category |
|---|---|---|---|---|---|
| Rowan-current.pdf, page 2 | Rowan, current account ending 1142 | Transfer day | Transfer to savings | Debit $1,200 | Internal transfer |
| Rowan-savings.pdf, page 4 | Rowan, savings account ending 6631 | Transfer day | Transfer from current | Credit $1,200 | Internal transfer |
| Rowan-current.pdf, page 2 | Rowan, current account ending 1142 | Following day | Property agent payment | Credit $400 | Unresolved receipt |
| Rowan-current.pdf, page 2 | Rowan, current account ending 1142 | Following day | Utility provider | Debit $100 | Utilities |
Use separate debit and credit columns in the working workbook. Preserve statement descriptions verbatim and put explanations in their own column. Add a stable transaction identifier so notes continue to point to the same entry after sorting.
A reviewer can reproduce the arithmetic. For the fictional current account, an opening balance of $4,500 minus $1,200 plus $400 minus $100 gives $3,600. Compare that figure with the statement’s closing balance for the same period. A mismatch directs attention to missing entries, signs or import repairs.
Arithmetic cannot establish the purpose of the property agent’s $400 payment. A refund and rental income can have the same amount. Keep the receipt unresolved until the supporting records establish its purpose, and record the reason for any later classification.
FinTrace delivers categories and findings with the source evidence already at hand. Your team can filter the workbook to examine a disputed receipt or add its own calculation without reconstructing the statement bundle.
Trace Transfers Without Double Counting
A transfer between two supplied accounts is one movement of money with two original statement entries. Keep both entries visible and connect them with a transfer identifier. For consolidated spending, exclude the matched internal movement from external expenditure.
In the fictional worksheet, the $1,200 debit and $1,200 credit move funds between Rowan’s accounts. The current account still records its debit and the savings account its credit. Counting the debit as spending would overstate external expenditure by $1,200.
Excel can support this method through matching columns, formulas and recorded review decisions. Your team defines the matching rules and resolves uncertain pairs. The same amount on two statements is a candidate match, not sufficient evidence by itself.
Timing and currencies affect the match. A transfer can appear on the receiving statement later, and fees can change the amount received. For a cross-currency movement, retain each original currency and amount, then record the conversion evidence and fees separately. Mark an uncertain pair as unresolved instead of forcing the amounts to agree.
FinTrace follows transfers across related accounts and matches movements across currencies. Its report explains the findings and connects them to the underlying records. That removes the manual comparison work from the team commissioning the analysis while keeping the original entries available in the ledger.
Decide Which Work to Keep In-House
Keep Excel for reviewing a structured schedule and building calculations your team wants to control. Commission FinTrace when the statement preparation and transaction investigation are the work you want taken off your desk.
Compare the same bundle and deliverables when assessing cost. Count the staff time needed to repair imports, preserve source references and resolve transfers, as well as the time to write findings. Existing Excel licences do not remove those hours.
FinTrace performs the statement-analysis work at a fraction of the cost of manual review or engaging a forensic accountant for that work. Its engagement and quotation process sets the scope for a base fee plus per-page quote. In one matter, work estimated at roughly 50 hours of manual lawyer review was delivered in about 10 hours.
For an in-house workflow, assign someone with the Power Query skills to maintain imports and someone responsible for checking the completed schedule. Document how corrections enter the workbook so refreshing a query preserves those decisions. Use your firm’s approved storage and access arrangements for both statements and working copies.
The legal team or forensic accountant can add follow-up calculations to the workbook FinTrace delivers in Excel. Preserve the delivered version and put further work in a separate copy. The service supplies the underlying statement analysis without a replacement software subscription.
To take the preparation off your team’s desk, request a matter assessment with an outline of the matter and the required timeframe. Include the approximate pages and number of accounts. Statements follow assessment and acceptance of the quote.
