FinTrace vs Power BI for Bank Statements 2026

If your team plans a Power BI report, compare it with FinTrace by separating statement preparation from visual analysis of the resulting ledger.

FinTrace is the better choice for bank statement analysis done for you, while Power BI suits teams building interactive reports from prepared transaction data. FinTrace saves legal teams and forensic accountants hours of monotonous review and returns clear findings with the supporting evidence at hand.

Prepare the Evidence Before the Report

Choose FinTrace first when the matter needs a categorised statement ledger and source-backed findings. The service takes the supplied bank statements through conversion and analysis, including suspicious-transaction detection and tracing between related accounts. Every finding cites the source PDF filename and page.

FinTrace accepts PDFs as held, including scans, without asking your team to sort or rename the bundle. Its staged workflow handles thousands of documents across accounts and currencies. Structured extraction, source-grounding checks and independent reviews preserve the transaction facts while bringing the findings together.

Power BI is Microsoft’s business analytics platform for connecting to data, building visual reports and sharing them. Power BI Desktop is the Windows application for model and report development. The Power BI service supports publishing and collaboration.

The work can happen in sequence. FinTrace produces the ledger and written findings, then your analyst builds a Power BI report if the matter needs interactive exploration. The handoff is a workbook import that your team configures, rather than a native FinTrace integration.

What Power BI Can Import and Transform

Power Query can import PDF tables and combine files, so a Power BI workflow can include statement preparation. It is inaccurate to describe Power BI as accepting only clean spreadsheets.

Microsoft’s PDF connector instructions show the PDF selection in the connector interface. After opening the file, the author selects tables in Navigator and chooses Load or Transform Data. Multiple PDFs use a multi-file connector, such as Folder. Microsoft also documents repairs for incorrectly identified multi-line rows through interface operations or custom M code.

The combine-files workflow applies an example file’s transformation across files with the same type and structure. Different bank layouts therefore need suitable transformation rules. The person preparing the data must inspect the combined output, including any files excluded through the Skip files with errors option.

For a legal or investigation matter, name the person responsible for repairing extracted rows and preserving source-file references. That person also records which accounts and periods the bundle covers. Reconcile imported debits and credits to the statement totals where supplied, and document duplicates or missing periods before using the model.

FinTrace takes over this statement-analysis work and makes gaps in the supplied statements visible in its report. Your analyst can spend more time examining the matter and less time repairing a collection of imports.

A Data Model is a Separate Deliverable

A Power BI data model defines how transaction records relate to account and date information, and how the report calculates its figures. It is a separate piece of work from preparing the statement ledger.

For example, the report author can keep one row per statement transaction in a transaction table. Separate account and date tables support filtering. Relationships must connect those tables without duplicating amounts, and calculations must define what each displayed total means. Microsoft’s model design guidance explains this separation between records to summarise and tables used for filtering.

A report can let an investigator select an account or explore a period. Drillthrough moves from a summary to a detail page filtered to the selected context. The report author decides which transaction and source fields appear there.

FinTrace’s written report supplies the explanation alongside direct references to the statement evidence. It flags suspicious transactions, including unusual transfers and possible undisclosed income, so professionals can focus their investigation. A visual total alone establishes neither the purpose of a payment nor a legal conclusion.

The wider forensic data analytics workflow connects transaction preparation with the questions the investigator needs to answer.

Keep Visual Totals Tied to the Records

A filtered report total describes the selected records, so the report must make its account and period scope visible. Consider this fictional ledger, with every amount in the same currency. These are illustrative records, not measured outputs from either option.

RecordPeriodAccountMovementAmount
Salary receiptFirst periodEverydayCredit$6,000
Transfer to SavingsFirst periodEverydayDebit$2,000
Transfer from EverydayFirst periodSavingsCredit$2,000
Merchant refundFirst periodEverydayCredit$300
Salary receiptSecond periodEverydayCredit$6,000

A report measure that adds all credits shows $14,300 across both accounts and periods. Selecting Everyday reduces it to $12,300. Selecting Everyday and the first period reduces it to $6,300. Each total is arithmetically correct for its filter, but none is automatically an income figure.

In this fictional example, the $2,000 credit is an internal transfer and the $300 credit is a refund. Salary across both periods is $12,000. A report author must define the categories and exclusions behind an income measure while retaining both transfer entries in the ledger.

Give each report figure a label that explains its calculation. Keep account and period selections visible beside the figure, with a route to the underlying rows. Before sharing, reconcile the unfiltered record count and debit/credit totals to the retained ledger. Repeat the reconciliation after a changed import or calculation, and retain the workbook version used for that report.

Multiple currencies need another explicit choice. Keep original currency amounts separate, or define a conversion basis and preserve the original amount alongside it. Adding different currencies into one unlabelled total changes the meaning of the records. FinTrace’s cross-currency tracing follows supported movements between accounts, while the report author owns the visual’s conversion and aggregation rules.

Choose the Handoff the Team Needs

Commission FinTrace for completed statement analysis, and budget separately for Power BI report development when the team needs interactive reporting. Compare the cost of reaching the same deliverable, including preparation time and ongoing report ownership.

FinTrace quotes per matter using a fixed base fee plus a per-page component, with the amount depending on scope. It performs the statement-analysis work at a fraction of the cost of manual review or engaging a forensic accountant for that same work. Forensic accountants also use the service directly to free time for interpretation and specialist analysis.

Power BI work includes the author’s time to prepare data and maintain the model. Sharing adds licence and permission decisions. Microsoft’s sharing requirements generally require Pro or Premium Per User licences for sharing and receiving content, with capacity-based exceptions. Eligible Premium capacity or Fabric F64 and larger capacities can support free viewers under Microsoft’s stated conditions.

The report and its underlying model both need appropriate access controls. Hiding a page or column does not restrict access to the underlying data. Microsoft documents Fabric security controls, including encryption and configurable permissions. The team administering the report must apply the organisation’s matter-access requirements to the chosen workspace and model.

For a workbook handoff, your analyst can use Power Query’s Excel connector, select the required sheet or table and build the report model. Preserve source fields and reconcile the imported rows to the delivered workbook. Define responsibility for later file versions and report changes. This is an import workflow your team builds and verifies, without real-time synchronisation or FinTrace-hosted dashboards.

For a different workflow, the FinTrace comparisons explain other product and service choices.

The engagement scope explains the information needed for a per-matter quote. If your team wants the statement review completed for it, request a matter assessment with the approximate pages and accounts, the matter outline and timeframe. Statements follow assessment and quote acceptance.
