Best AI Note Takers for Legal Teams in 2026

AI note takers for lawyers compared on accuracy, data handling and consent features, with the recording consent rules for client meetings.

Microsoft Teams Copilot is the best AI note taker for legal teams already using Microsoft 365. It summarises discussions and suggests follow-up tasks inside the firm’s existing meeting system. Its advantage is the ability to manage meeting records through the firm’s existing access and retention controls.

A separate note taker can suit a practice that meets across several platforms or needs an in-room recorder. The choice also determines which provider receives the client’s voice and how long the resulting record stays available.

Top AI Note Takers for Client Meetings

1. Microsoft Teams Copilot

Microsoft Teams Copilot ranks first for a practice whose client conferences already take place in its managed Microsoft 365 tenant. Licensed participants can ask who said what or request follow-up tasks. The during-and-after mode uses a meeting transcript so the discussion remains available after the call.

Microsoft says prompts, responses and Microsoft Graph data are not used to train foundation models. Meeting recordings and transcripts use OneDrive or SharePoint storage, while compliance policies can retain Copilot interactions. Microsoft’s data residency commitments include Australian tenants, subject to the service and tenant configuration. Storage at rest does not establish where every processing operation occurs.

Copilot requires the relevant licence, and the existing tenant needs appropriate file permissions. Its meeting-only mode does not save speech-to-text audio processing data after the meeting, although compliance retention can preserve prompts and responses. Australian-accent accuracy was not tested. Choose it for managed Teams conferences, with the recording and transcript settings agreed before the client joins.

2. Zoom AI Companion

Zoom AI Companion is best for a practice already hosting client meetings in Zoom. Zoom now labels its meeting controls Zoom AI. Meeting summary uses speech-to-text data to produce notes, and a separate setting controls whether a meeting transcript is retained. A saved audio or video recording is a separate meeting asset.

Zoom says customer content is not used to train its own or third-party AI models. Its processing arrangement depends on the account’s deployment, including Zoom-hosted models and supported third-party routes. Zoom’s data governance explanation distinguishes those arrangements. An Australian meeting participant does not by itself establish Australian processing or storage.

Zoom ranks second because it avoids adding another meeting provider when the practice already uses Zoom. Summary sharing and retention still need account controls, and summary access depends on the eligible account. Australian-accent accuracy was not tested. Use host-only summary sharing for a client conference unless further recipients have been authorised.

3. Fireflies

Fireflies is best for a practice that wants searchable meeting notes across different meeting platforms. It can capture meetings through a bot or its desktop app and produces transcripts with summaries. Its central meeting library suits a team that needs to find an earlier discussion without searching individual inboxes.

Fireflies says meeting content is never used for internal or external AI training. Its zero-retention promise concerns third-party processing vendors. Fireflies itself stores meeting content. Its storage guide places default storage and processing in the United States, with separate Enterprise private-storage arrangements.

Fireflies can be suitable for client meetings after the firm approves that overseas processing and restricts recording and sharing. It is not automatically safe because its vendors promise zero retention. Workspace administrators can manage retention and access. Australian-accent accuracy was not tested, so its place reflects documented controls and cross-platform capture, rather than measured transcription quality.

4. Bluedot

Bluedot is best for teams that want meeting capture without a bot appearing as another attendee. Its legal-team page describes recording client interviews, producing structured notes and searching past transcripts. The lawyer still needs to tell participants that recording and AI processing will occur.

Bluedot’s security policy says customer data is not used to train or improve AI models. It describes AWS storage, support for EU residency and configurable retention. Deleted data leaves primary storage immediately, with backups cleared within 30 days. EU residency is an overseas arrangement for an Australian practice.

Bluedot ranks below the built-in meeting options because the practice adds another provider and recording route. Bot-free capture can help where meeting bots are blocked, but it removes a visible cue that recording is happening. Australian-accent accuracy was not tested. Use it where the firm approves the capture method and makes consent explicit before recording starts.

5. Fathom

Fathom is best for an individual practitioner seeking a free meeting-note option before a wider rollout. It generates searchable transcripts and summaries. Its individual free plan provides a starting point, while organisation-wide controls require attention to the team offering.

Fathom says all its data is stored in the United States. Its external AI providers cannot train on customer data, but Fathom uses de-identified data to improve its own models unless the user opts out. Team administrators can opt out the organisation. Account deletion removes recording data and metadata, with backups removed after another seven days.

Fathom ranks fifth because free access does not remove the need to control training use or overseas storage. Its recording-consent features differ between bot and bot-free experiences. Australian-accent accuracy was not tested. A free AI note taker suits an approved trial with fictional conferences before the practice permits client material.

6. Otter

Otter is best for lawyers who want live transcription and searchable conversations across desktop and mobile devices. It can record directly from a device or join a meeting. Its Basic plan is free, with paid plans and enterprise controls available for wider use.

Otter’s published terms need careful reading for confidential conferences. Its privacy and security page says it de-identifies user data before training its own models. Separate AI service providers do not train on customer data. Deleted conversations enter Trash for 30 days unless the user clears them sooner. Its privacy policy identifies US-based cloud storage providers.

Otter is not a default safe choice for client meetings merely because recordings are private within the account. The firm needs an approved contractual basis for training use, retention and overseas handling, plus client consent. Australian-accent accuracy was not tested. It ranks below products with clearer no-training defaults for this use, despite its convenient live transcription.

7. Plaud

Plaud is best for in-person client conferences where a physical voice recorder is more practical than a meeting bot. The device captures audio locally. Its app then supports AI transcription and summaries, so using a device does not mean the whole workflow stays offline.

Plaud’s storage documentation assigns Asia Pacific accounts to AWS Singapore. Recordings, transcripts and summaries remain until deletion or account cancellation. With cloud sync off, recordings stay on-device, but requested AI processing still uses the cloud. Plaud says model training requires explicit informed consent.

The device and transcription allowance create separate purchasing decisions. It ranks seventh for online-first legal teams because hardware adds custody and loss risks alongside cloud handling. Australian-accent accuracy was not tested. Choose it for an approved in-room workflow, with someone responsible for device access and deletion after the file record is secured.

8. Read AI

Read AI is best for teams that want meeting summaries alongside participation and engagement analysis. Its wider use of meeting context can suit internal practice meetings. Client conferences need a narrower decision about whether that extra analysis is necessary.

Read AI’s trust documentation says user data is processed and stored in the United States. Free-account data is kept for no longer than two years. Paid-account data can remain while the account exists unless a retention policy applies. Training is opt-in, and custom retention is available through Enterprise+.

Read AI ranks eighth for confidential client conferences because its broader meeting analysis can collect more information than a file note requires. Australian-accent accuracy was not tested. Use it where the practice has approved those functions and has restricted automatic joining, report access and connected-account permissions.

How We Judged AI Note Takers

The recommendations above favour control over client information and fit with an existing meeting system. They compare published capabilities and terms. None of the tools underwent an Australian-accent accuracy test for this article.

A useful practice trial uses the same fictional client conference for each candidate. Include two Australian speakers, interruptions and a disputed instruction. Add a name, an account amount and a correction spoken later in the meeting. The trial must examine the following outcomes.

TestWhat the practice needs to establish
Transcript accuracyThe correct speaker, amounts, negations and later corrections survive transcription.
Summary accuracyA proposal remains a proposal, and an agreed instruction names the correct person.
Retention and trainingThe chosen plan controls stored recordings and derived notes, with training use acceptable under the firm’s approval.
Storage and processingEach content type has an identified region, including AI subprocessors and backups.
ConsentParticipants receive an explanation before capture, can refuse and can see when recording stops.
ExportA complete file note and any required transcript can be saved into the client file and reopened without the subscription.

Australian storage is a distinct requirement from a vendor having an Australian website or customer. Microsoft documents Australian at-rest commitments for qualifying tenants. Several standalone products above use overseas infrastructure. A residency promise also needs to identify which data it covers and whether processing occurs elsewhere.

For client conferences, obtain every participant’s informed agreement before recording or sending speech to an AI service. That is a practice control covering both recording and onward handling. The statutory rules differ by state.

In New South Wales, section 7 of the Surveillance Devices Act 2007 restricts recording private conversations even where the recorder is a party. Consent from all principal parties is one exception. Other exceptions include recording reasonably necessary to protect a consenting principal party’s lawful interests, or recording without a purpose of communicating it to non-parties.

Otter is not categorically unlawful in NSW. Its use must fall within the law and the firm’s confidentiality obligations. Do not assume that a convenience file note meets the lawful-interests exception. Sending a conversation to a provider also needs consideration separate from the decision to record it.

Victoria’s Surveillance Devices Act 1999 restricts non-party recording under section 6. A party can generally record their own private conversation under that provision. Section 11 separately restricts communication or publication, subject to exceptions.

Queensland’s Invasion of Privacy Act 1971 has a party exception in section 43. Section 45 separately limits later communication or publication of the recording or a statement prepared from it, subject to exceptions. Permission to record does not settle permission to distribute an AI summary.

For interstate meetings, establish where participants are located before deciding which laws apply. Explain the provider, intended recipients and retention arrangement when seeking consent. Record the agreement in the client file, and take manual notes if someone refuses. A bot’s presence or a recording banner alone does not establish informed agreement to every downstream use. The firm’s client confidentiality duties continue after recording stops.

Privacy Settings to Check

Before the first client meeting, configure the note taker so a calendar invitation cannot silently expand its access. Use the following settings as the practice’s approval checklist.

  • Turn off automatic joining and automatic recording. Start capture only after participants agree.
  • Restrict recordings, transcripts and summaries to the responsible matter team. Disable public links and automatic emails to all invitees.
  • Set retention for each stored asset. Keep the approved file record in the client system and account for backup deletion periods.
  • Disable optional model-training or product-improvement contributions. Confirm that the firm’s agreement covers the plan staff actually use.
  • Limit calendar and connected-app access. Remove connections that the meeting-note workflow does not need.
  • Allocate an administrator to manage departures, exports and deletion, so records do not depend on a former employee’s personal account.

For one Zoom meeting, the host opens the Zoom AI control and selects Stop Zoom AI to stop its AI features. Confirm the stop. Stopping generation does not itself erase assets already created or copies already shared. Review any separate recording and transcription controls too.

For the whole Zoom account, an administrator opens Admin Center, then Settings, then Zoom AI. Turn off Meeting summary with AI and lock the setting. Disable Meeting questions and any other permitted AI features as well. Turning off summary alone does not disable every AI function. Zoom’s account settings instructions also cover auto-start and sharing restrictions.

Save one fictional meeting’s exported note in the client-file system and reopen it before approving the workflow. Confirm that access and deletion work for another authorised staff member. If the actual need is dictated correspondence or a formal transcript, use the separate legal transcription and dictation workflow.
