RedCrest-Probate: Filing and Requisitions

File a Victorian grant application in RedCrest-Probate, keep the asset evidence consistent and respond to requisitions through the correct workflow.

RedCrest-Probate lets you submit a Victorian grant application, file further documents and retrieve the issued grant. For estate solicitors, the filing task starts with a consistent inventory and ends with confirmation that the Probate Office has the required material.

What You Can Do in RedCrest-Probate

Use the official RedCrest-Probate portal for probate and administration applications. The separate RedCrest litigation service has its own account and filing processes. A litigation login does not give you a probate account.

Keep grant selection and the supporting legal evidence with your probate application preparation. For locating an advertisement or retrieving another estate’s records, use the probate search guide.

Check the Account, Application and Evidence First

Before filing, gather your probate account access, chosen grant route, applicant details, original documents and supporting asset information. Put the death certificate, will and codicils with the proposed inventory for a final comparison.

For a RedCrest-Probate login problem, use the registered email address and the portal’s password recovery page. The Court’s account instructions also describe an emailed one-time passcode. Check the relevant mailbox and spam folder. A successful login resolves access, while a missing signed document remains an application problem.

An uploaded will does not complete the original-document requirement. The Probate Office help page requires originals within 28 days of online submission. For a will-based application, arrange the original will and codicils, original exhibit certificate and a copy of the generated originating motion. Follow the official delivery instructions for your application type.

Keep the Inventory Consistent With Bank Evidence

Reconcile each bank entry to evidence of the deceased’s interest at death before entering the inventory. The Court’s document-generation instructions use assets and liabilities at that valuation point. Later account activity needs a separate explanation.

For each account, record the holder, account reference, valuation point, amount and source. Identify debts separately. Flag joint ownership or disputed beneficial ownership for legal assessment before selecting an estate amount. A bank’s displayed balance alone does not resolve an ownership question.

Consider this fictional reconciliation. A bank confirms $42,000 at death. A later statement closes at $39,500 after a $3,000 payment and a $500 refund. The arithmetic explains the later balance: $42,000 minus $3,000 plus $500 equals $39,500. Using $39,500 without that explanation would replace the death balance with a later one.

Keep the confirmation’s filename and page beside the $42,000 entry. Reference the later statement for both movements. Record who corrects the draft, the previous amount, the replacement and the reason. This gives the solicitor an explanation for the change and preserves the post-death transactions for administration.

For a larger statement bundle, FinTrace saves hours of manual review by producing a searchable ledger and findings report. Each finding cites the source PDF filename and page, putting the underlying evidence beside the analysis.

Publish the Notice and Prepare the Draft

Publish the notice before filing the grant application. The Supreme Court’s application guide requires at least 15 days between advertising and applying.

  1. Start a new grant application in RedCrest-Probate and select the intended grant route. Compare the deceased and applicant details with your instructions before continuing.
  2. Complete the notice information. Review the proposed advertisement against the estate file, then publish it through the notice payment and submission process. Retain the publication confirmation.
  3. Save the draft and record when filing becomes available. Paying for the notice leaves the grant application to be completed separately.
  4. Complete the inventory information and generate the application documents. Review the affidavit and inventory against the reconciled evidence. Correct the source answers and regenerate documents before execution if an input is wrong.
  5. Follow the generated instruction sheet for signing and witnessing. Reopen the saved draft and confirm that it names the intended estate and applicant before uploading executed documents.

Keep the document package used for execution with the retained draft reference. If two estates have similar names, compare the applicant and identifying details instead of relying on the name alone.

Upload, Submit and Confirm Lodgement

Upload the executed documents to the intended draft, then complete submission and any required payment. Follow the Court’s uploading and filing instructions for document groupings.

  1. Prepare separate PDFs for the required document categories. Include signing pages and the relevant exhibit certificates. Open every PDF to check that the scan is complete and readable.
  2. Upload each PDF to its matching category. Compare the uploaded files with your document checklist before submitting.
  3. Apply the Probate Office fee schedule. Filing fees depend on the gross value of the Victorian estate. Complete the lodging fee form required by the Court’s fee instructions. Those instructions also cover waiver applications.
  4. Complete submission and payment where required. Retain the confirmation, receipt and application reference, then arrange outstanding original documents.

Record the original-document delivery separately from the online submission. Retain the Probate Office’s acknowledgement when it arrives. A filing confirmation records submission. The grant is issued after examination.

Respond to Requisitions and Filing Problems

Read the Probate Office’s request against the lodged documents before preparing a response. Match each requested item to the evidence or correction that answers it.

The Court’s further-document instructions direct you to the existing application. Select the party on whose behalf you file, choose the document type and upload the PDF response. Submit it and retain the confirmation email with the request and response copy.

Keep a response record showing which passage answers each requisition. After submission, compare the recorded application reference with the original filing. A further-information receipt leaves the response for examination.

For an unresolved access, upload or payment problem, email RedCrest-Probate support. Include the application reference, exact message, attempted action and relevant supporting documents. Remove passwords and passcodes from any screenshot. Ask the Probate Office how a correction affects filing status or timing before relying on an earlier submission.

Verify the Grant and Hand Over the File

Check the issued grant against the estate file before sending it to an asset holder. Compare the deceased’s identity, grant type and named executor or administrator with the application and any later directions.

Use the official electronic grant verification page with the application number and unique identifier shown on the grant. Enter the application number exactly, including its spacing and capital letters. Compare the displayed original with the copy you intend to use.

Keep the final grant with the lodged inventory, source financial records and requisition responses. Identify later bank movements separately so the administration file starts with an explained opening position. Pass that file into the executor’s administration work with any unresolved ownership questions clearly recorded.
