Trust Accounting Software for Trustees

Trust accounting software for trustees must explain assets, capital, income and distributions. Compare records, vouchers, reviewer access and export.

Trust accounting software for trustees must connect assets and transactions to the beneficiaries’ accounts. Choose Class Trust for ongoing investment-trust accounting and Attestates Estate Accounting for recording a deceased estate’s administration. The deciding question is which account you need to prepare, including the evidence behind its balances.

An investment trust needs continuing records of holdings and income. An estate account follows assets through administration to final distribution. Both need bank reconciliation and explanations that another accountant can follow.

Choose for the Fiduciary Account Being Prepared

Choose software for the trust’s assets and beneficiary records, with the required account format decided before migration.

Class Trust is a suitable starting point for accountants administering ongoing discretionary, family or unit investment trusts. Its Australian product page describes investment tracking, reconciliation and financial statements, with income components calculated for beneficiaries. That makes it relevant to family trust accounting software where investments and beneficiary allocations drive the work.

For an ongoing trust holding an investment portfolio, that combination is more useful than a cashbook alone. A trust fund accounting software shortlist must also account for the actual structure. A unit holding, a discretionary allocation and an amount already payable to a beneficiary need distinct records.

Attestates Estate Accounting fits a deceased estate where the executor must record opening assets, subsequent transactions and what beneficiaries receive. Its published workflow uses double-entry bookkeeping and calculates beneficiary shares, including specific gifts and residual gifts. Its reporting covers selected periods and produces PDF summaries or detail. The supplier’s terms identify an Australian company and estate administration as the application’s purpose.

Use that estate-specific structure when the account must explain the assets remaining after gifts and expenses. A continuing family trust has a different accounting purpose. Record the governing deed or will and the approved allocation basis alongside the opening balances.

Solicitors holding client money need a separate practice-ledger assessment under legal trust accounting software. Those pooled client-money records answer a different question from a trustee’s account of an estate or investment fund.

Distinguish Income, Capital and Beneficiary Interests

Separate income and capital so the account shows how receipts and payments affect each beneficiary’s recorded interest.

A bank deposit describes a movement of cash. Its accounting treatment depends on why the money arrived. Rent, proceeds from selling an asset and a transfer between the trust’s own accounts require different entries. Retain the decision supporting the classification, including any split between income and capital.

The account must explain both the money and the underlying asset. Selling an investment reduces the holding and increases cash. The sale proceeds alone do not show the gain, carrying value or treatment required under the governing instrument.

A beneficiary account must distinguish an allocation from a payment. If the trustee records an allocation of $4,000 and pays $1,500 against it, the account must explain the remaining $2,500. That arithmetic illustrates a recorded payable balance. It does not determine the beneficiary’s entitlement.

When software combines capital and income into one total, the reviewer loses the explanation of which fund bears an expense. When beneficiary balances lack linked movements, a distribution figure cannot explain earlier allocations or payments. Keep the accounting classification separate from tax reporting, which can apply different concepts.

Reconcile the Account to Bank Records and Vouchers

Reconcile every bank movement to an entry and retain the document explaining its purpose.

The following fictional example assumes $20,000 opening cash. The trustee records rent, a repair payment and an authorised beneficiary payment over one reporting period. The example’s classifications are illustrative decisions recorded for this account.

MovementSource evidenceRecorded entryEffect on records

Period-end reconciliationBank closing balance and outstanding-item scheduleReconciled cash of $20,700 if all movements have clearedLedger agrees to bank evidence

The $1,000 distribution reduces cash and the relevant beneficiary balance. It does not become a repair expense or disappear inside a general withdrawal category. Reference D1 must explain whose payment it was and the authority used.

If invoice V1 is missing, keep the bank debit in the reconciliation and record the missing support as a review issue. A matching bank balance establishes that the money moved. The invoice and authority explain why the trustee charged it to that account.

For a wrongly classified transfer, preserve the original entry and post a linked reversal or adjustment. Record the preparer, correction reason and reviewer’s resolution. A successor must be able to reconstruct both the original balance and the corrected one.

FinTrace helps forensic accountants reduce hours spent reviewing the underlying bank statements. The service turns large PDF bundles into a searchable Excel ledger and a findings report, with suspicious transactions clearly flagged. Findings cite the source PDF filename and page, putting the statement evidence directly beside the review question.

That analysis supplies evidence for examining unexplained transfers and omissions in the trustee’s records. The trustee’s accounting system records the classifications, allocations and authorised distributions used to prepare the fiduciary account.

Give each contributor access that preserves the distinction between preparing an account, authorising a trustee decision and reviewing it.

Trust accounting software for accountants needs supporting documents and a correction history alongside the figures. A reviewer needs the account for the relevant period, opening balances and transaction detail. Documents must retain references that survive a report export.

Attestates describes view access for beneficiaries, edit access for co-executors and staff access for firms. Its terms place permission assignment with administrators. Class Trust describes client access to investment and trust information, with users managed under its licence. Treat the permitted role and the person’s authority as separate records.

A practical access schedule identifies who can enter transactions and who can approve the trustee’s allocation decisions. An independent reviewer receives the records needed to raise queries without sharing the preparer’s login. Preserve each query and its resolution with the final account.

Software permissions alone do not establish who may exercise trustee powers. The governing instrument and applicable trustee duties decide the authority behind an instruction. An unexplained payment can also require investigation of a possible breach of trust, beyond correcting its ledger category.

Assess Free Tools Against the Complete Account

A spreadsheet can suit a small, straightforward account when someone can maintain reconciliation and the supporting evidence consistently.

Use separate schedules for assets, transactions, beneficiary movements and the reconciliation. Give every entry an identifier and use it in the voucher index. Keep formulas protected from accidental editing and retain dated versions with a correction register. A CSV export preserves rows, while a PDF preserves the account presented for review.

Free access does not supply the controls automatically. A spreadsheet needs its own document folder, backup process and arrangements for a successor to open it. A local file avoids a vendor’s per-account subscription limit, but access to the spreadsheet application and shared storage can still cost money.

The difference from paid fiduciary software is the work needed to keep the complete account together. A spreadsheet becomes less suitable when several people edit entries, beneficiary movements become difficult to reconcile or reports require repeated manual rebuilding. Software that calculates allocations still needs the correct governing rules entered.

Distinguish an ongoing free edition from a temporary trial. For either, the usable account includes document storage and continued access to exports. An expiring trial is a poor archive for a trust that must continue reporting.

Check Jurisdiction, Charges and Exit Records

Match the required account format and the departure records before committing the trust to a platform.

For example, the Supreme Court of Victoria explains that the Court or Registrar may require an executor or administrator to file an administration account under rule 6.03. Its administration account guidance links the form and verification affidavit. The form separates corpus and income accounts. A software-generated beneficiary summary must contain the information needed for that particular filing.

Use the applicable jurisdiction and governing instrument to define the account you need. An Australian supplier or an Australian tax-reporting feature does not itself establish that a report meets every court’s requirements.

Class Trust describes an annual licence with unlimited users, implementation and training included, plus a transitions service for migrating entities. Attestates’ terms describe prepaid subscriptions and make customer-data access dependent on a current subscription. The subscription unit therefore matters alongside the number of estates, entities or users covered.

Agree the conversion scope around reconciled opening balances and the retained supporting schedules. Specify who imports historical movements and who resolves a difference between the old account and the new opening balance. Keep that resolution with the migrated account.

Require a departure package containing the asset register, full transaction history and beneficiary accounts. Include the bank reconciliations, vouchers, governing documents and explanations for adjustments. Retain the signed or approved account as a PDF and the underlying transaction data in a reusable format.

A PDF report preserves the presentation. It does not automatically preserve editable transactions or attached vouchers. Before closing access, reconcile the exported balances to the final account and give the successor the records needed to reproduce each beneficiary’s position.
