Family Trust Accounting: Prepare a Fiduciary Account

Prepare family trust accounting records for review, reconcile assets and beneficiary balances, and trace receipts and payments to their vouchers.

Family trust accounting establishes what a trustee holds, what changed during the accounting period and what remains for beneficiaries. Prepare the account by reconciling assets and liabilities to supporting records, then connect each receipt and payment to its authority. A professional reviewer can then distinguish a supported transaction from an unresolved exception without rebuilding the account.

Identify the Trust and Accounting Capacity

Identify the trustee and the capacity in which each asset is held before testing the figures. Collect the deed and variations, trustee appointment or retirement documents, asset ownership records and the preceding account. Record the beneficiaries or beneficiary classes and the period under review. For an estate, start with the will, grant and estate inventory instead.

Use a capacity schedule where the same person or company manages several funds. For each account or asset, record the legal holder, relevant trust or estate and the document establishing that relationship. A shared director or family name does not establish that two accounts belong in the same fiduciary account.

Corporate trust accounting separates a company’s trustee capacity from its own financial position. For example, the company’s own share capital belongs in its company records. A bank account holding money for the family trust belongs in the account of that trust. Trust accounting for corporations requires this distinction even when one company appears throughout the bank statements.

Small business trust accounting also needs the trading records of the business held in trust. Reconcile customer receipts, supplier balances, loans and business assets to that trust’s account. Keep the trustee company’s own transactions separately identified. Solicitors’ pooled client-money trust accounts have a different purpose and record system.

Set the legal framework before adopting a format. In Western Australia, section 5 of the Trustees Act 1962 makes statutory powers subject to the trust instrument, subject to the section’s exceptions. Read the instrument alongside the applicable state or territory law and any order governing this account.

Build the Assets, Liabilities and Movement Account

Build the fiduciary account from an evidenced opening position through to a closing schedule of assets and obligations. Keep the movements detailed enough that a reviewer can follow a change in property as well as a change in cash.

Use connected schedules for the following records:

  • Opening assets and liabilities, with ownership evidence and the valuation basis.
  • Receipts and payments during the period, carrying transaction references and classifications.
  • Asset movements, including purchases, disposals and transfers to beneficiaries without a cash payment.
  • Closing assets and liabilities, with the location of retained property and amounts still to collect or pay.
  • Beneficiary balances and the evidence for each entitlement, allocation and payment.

A sale replaces an asset with proceeds and can create a gain or loss. Show both sides of that movement. A transfer between two bank accounts of the same trust changes the location of cash. Match the two entries so the consolidated account does not count the transfer as fresh income or expenditure.

Separate income and capital using the governing instrument and applicable rules. A bank description is evidence of a movement, but it cannot decide a disputed legal classification. Record the clause, accounting basis or advice supporting the treatment. Where classification needs legal or accounting judgment, retain a query against the entry and show how the alternatives affect the account.

Trust fund accounting and trust and estate accounting share this whole-account approach. The authority and reporting format remain specific to the fund or estate. The Supreme Court of Victoria’s administration account, for example, separates corpus and income. It also records property distributed without sale, property retained or uncollected and moneys and securities held. That estate form supplies a useful example of coverage, rather than a universal family-trust template.

For a Victorian estate required to provide an account, use the Probate Office’s administration-account guidance and applicable requirements. Keep preparation of these underlying schedules separate from the procedural steps for an account and inquiry.

Reconcile Statements, Vouchers and Beneficiary Balances

Give each material movement a reference that joins the account to the bank statement, supporting voucher and authority. A voucher might be an invoice, settlement statement or receipt. For a beneficiary payment, also identify the beneficiary record and the decision or instrument supporting payment.

Keep the original statement filename and page alongside the ledger entry. Add the voucher reference and record any explanation received from the trustee. Missing evidence stays visible against the transaction even when the bank arithmetic agrees.

Fictional Cash Account

Assume a family trust has opening cash of $40,000 and no other assets or liabilities. During one review period, it receives $5,000 of income and makes the payments below. For this illustration, the governing terms support the income receipt and a $2,000 expense charged against income. A valid decision establishes a $3,000 beneficiary entitlement, which is then paid.

MovementReceiptPaymentRunning bank balanceSupporting record
Opening cash$40,000Prior closing account and opening statement
Income received$5,000$45,000Receipt record and bank entry
Expense paid$2,000$43,000Invoice and payment authority
Beneficiary payment$3,000$40,000Decision, beneficiary record and bank entry
Unresolved withdrawal$500$39,500Bank entry only, voucher requested

The closing bank balance is $39,500: $40,000 plus $5,000 less $2,000, $3,000 and $500. The cash account reconciles, but the $500 withdrawal remains unsupported. Keep it as a separately identified unresolved payment until the evidence establishes its purpose and classification. Do not hide it in the supported expense total.

The beneficiary record shows a $3,000 entitlement, a $3,000 payment and a nil unpaid balance for that entitlement. A recorded allocation alone does not prove an enforceable entitlement. Retain the governing provision and the decision that establishes the beneficiary’s position. Equally, an entitlement recorded in the account does not prove payment occurred.

For a disputed payment requiring its own tracing exercise, use the separate trust distributions workflow. In the whole account, retain the result of that exercise and any remaining qualification beside the beneficiary balance.

Account for Restricted Charitable Funds

Identify each restricted charitable receipt and the authority for spending it. Charitable trust accounting needs the governing instrument and any binding gift or grant conditions beside the financial records. The Australian Charities and Not-for-profits Commission’s money-management guide explains that charity money, less reasonable expenses, must pursue the charity’s charitable purpose.

For a fictional education fund, assume a gift requires the money to fund eligible students’ tuition. Give that receipt its own fund reference. Retain the gift terms, the evidence that a student meets those terms and the approval for each tuition payment. A transfer to a general operating account does not establish that the restriction has been met.

Reconcile each restricted fund from opening balance through receipts and permitted payments to its closing balance. Record the basis for any shared expense charged to it. Keep an unsupported allocation as a query instead of treating a general board approval as proof that a specific restriction permits it.

Nonprofit trust accounting follows the actual restrictions of the fund being reviewed. The organisation’s nonprofit status alone does not explain a payment’s authority. Where the review extends to continuing administration, the family charitable trust guide addresses the purpose and governing arrangements.

Review Third-Party Accounting and the Handover

Define the mandate for third-party trust accounting before the preparer starts. Specify the trust or estate, period, required schedules and source records available. Allocate responsibility for obtaining missing documents and deciding disputed classifications. Agree how the preparer will identify adjustments and unanswered queries.

For the bank-statement stage, FinTrace saves lawyers and forensic accountants hours of conversion and review. The service processes large volumes of PDFs into a searchable Excel ledger and a clear findings report. Advanced AI workflows use source-grounding checks and independent reviews to preserve the transaction facts. Suspicious transactions and unusual transfers are clearly flagged, with each finding tied to its source PDF filename and page.

Forensic accountants use those outputs to spend more time interpreting the account and investigating exceptions. FinTrace performs the statement-analysis work at a fraction of the cost of manual review or engaging a forensic accountant for that same work. Keep the mandate for the complete fiduciary account clear about who resolves deed interpretation, valuations and the final accounting treatment.

At handover, retain the editable account and a fixed copy of the delivered version. Obtain the source index, reconciliations, vouchers, adjustment explanations and outstanding queries. Test the delivered account by tracing material entries to their records and confirming that opening and closing schedules agree. An adjustment needs an explanation of what changed and why, with its effect on both the account and any beneficiary balance.

Choose trust accounting software for trustees on whether the next reviewer can receive those records and continue the account. A provider’s summary leaves the reviewer unable to resolve an exception if the supporting schedules and vouchers stay inaccessible.

Resolve Exceptions Before Finalising the Account

Resolve each exception against the evidence needed for that particular issue. A bank reconciliation can be complete while authority, classification or beneficiary treatment remains disputed.

Review exceptionEvidence needed to resolve itTreatment while unresolved
Unsupported withdrawalVoucher, purpose, recipient and authorityKeep the payment visible with its classification outstanding
Unexplained transferBoth account entries, ownership evidence and explanation of purposeRetain the destination query and avoid assuming a beneficiary payment
Mixed-capacity paymentEvidence of which trust or person incurred the cost and the basis of any apportionmentSeparate the disputed amount from supported allocations
Missing beneficiary authorityGoverning terms and a valid decision supporting the entitlement or paymentDistinguish cash paid from the entitlement claimed

An unpresented distribution cheque needs its own reconciliation trail. Assume a beneficiary has an established $3,000 entitlement and the administrator issues a cheque for that amount. If it remains unpresented, the bank still holds the cash. Record the outstanding cheque in the bank reconciliation and show the entitlement’s unpaid status clearly.

Before cancellation or reissue, confirm non-payment from the bank records and obtain the required cancellation or stop-payment evidence. Link the replacement to the original cheque reference. Reverse any original payment posting as required by the account’s basis before recording the replacement, so the beneficiary balance is reduced only once. Keep the entitlement intact until payment or another legally supported event resolves it.

Before approving the handover, record each remaining qualification, its amount and its effect on the closing schedules. Name the person responsible for the next step and retain the evidence supporting closed queries. The reviewer can then approve an identified version with its stated qualifications, or return the specific entries that still need correction.
